Assistant to the Registrar

Reports to: Registrar/Principle Designated School Official

Responsibilities of the Assistant to the Registrar consists of responding to inquiries via phone, email and fax; data entry, assisting with the maintenance of student records, primary testing center proctor, and tracking of employment for former students. Handle problem resolution/escalation as required. Maintain compliance and professionalism at all times.

Duties and Responsibilities

  • Works with Registrar on enrollment process for incoming students
  • Ensures that student demographics, contact information, and citizenship documentation is entered into MISA in a timely manner
  • Assist with maintaining all active and archived student records
  • Assist students with the completion of forms
  • Assist with tracking of student satisfactory academic progress
  • Review and verify forms for completeness and accuracy
  • Collecting required documentation of student badge applications
  • Complete out-processing for students that graduate, withdraw, or are dismissed
  • Primary test proctor of FAA Knowledge Exams
  • Notifying students of required visa extensions in a timely manner
  • Maintain verifiable records of graduates, and withdrawal and dismissals (as applicable)
  • Interact with Admissions, Financial Aid, School Administrators, Accounting, and other areas as required
  • Communicate with Admissions and the Director of International Contracts about required documentation for files
  • Communicate the arrival of Flying Services applicants to all appropriate parties
  • Maintain a compliant and efficient recordkeeping and scheduling system for students, instructors and evaluators
  • Maintain verifiable records of each graduates initial employment for five (5) years
  • Report on graduate employment rates to the Manager of Education and various Academy departments
  • Educate graduates on job search techniques and professional etiquette
  • Maintain the Pilot Placement Office’s policy and procedure manual in compliance with accreditation requirements
  • Annually complete the EEO-1 Ipeds report for Financial Aid
  • Maintain and update contact list of potential employers for graduates not employed by L3 Airline Academy
  • Out-process students and create report for various departments within the Academy
  • Other duties and projects as assigned
  • Other duties as assigned by Management

Minimum Qualifications

  • Well-developed communication and writing skills with a commitment to customer service in a fast paced environment
  • Ability to comply with regulatory requirements with respect to student academic records and other documentation
  • Ability to prioritize work and perform well under pressure
  • Ability to manage multiple tasks and meet deadline
  • A positive attitude and ability to plan and adapt to change
  • Complete understanding of confidentiality
  • Proficiency with Microsoft office suite (Outlook, Word, Excel)
  • Experience in an Administrative setting is a plus
