Student Life Coordinator

Reports to: Manager of Student Affairs

Responsibilities of the Student Life Coordinator consist of assisting in the daily activities of the domestic/international student’s life at Aerosim Flight Academy in each area including but not limited to field trips, inter-campus sports, doctor visits, and all other aspects of student life.

Duties and Responsibilities

  • Attending enrollment meetings, planning, and assisting with Orientation of new students to Academy Life
  • Welcome International Students upon arrival at the airport along with transportation driver(s)
  • Coordinate new student paperwork for both Contract and Self-Sponsored students upon arrival.
  • Coordinate new students to get FAA medicals (i.e. Check request, contact doctor’s office for appointment, etc.)
  • Assist International student with health insurance claims resolutions
  • Assesses the needs of students in terms of day to day issues/needs/activities (i.e. Doctor visits, banking, need for sporting equipment, other life needs, etc.) and coordinate with Transportation Supervisor
  • Creates a monthly social events calendar for students and coordinates the execution of activities
  • Coordinate field trips for cadets on a monthly basis
  • Plan, organizes, and oversees student activity and travel programs. Chaperones or schedules chaperones for off-campus activities (including transportation, proper documentation, and details).
  • Sets up on campus holiday activities for cadets and staff to include all nationalities represented on campus
  • Schedule monthly student meetings and responsible for keeping sign-in logs and meeting minutes
  • Coordinates with Human Resources quarterly student/employee appreciation events as requested
  • Coordinates monthly visits to Orlando Sanford International Airport for Photo I.D’s and work with Registrar
  • Supervision of distribution student mail
  • Assist in tracking violations for Student Code of Conduct (Infraction Program)
  • Coordinate/Perform financial transactions/collection for student events/activities
  • Coordination with the Finance Department for Field Trips
  • Assist Transportation Supervisor with transportation coordination and some supervision in absence of the Supervisor
  • Review of monthly Transportation Driver schedules
  • Back up for assisting Transportation Supervisor with transportation
  • Assist Housing Manager with apartment inspection photos and emails/correspondence
  • Maintaining and Distribution of Housing Lists & Assignments, and students’ requests for housing needs
  • Coordination with the Housing Manager
  • Planning of student graduation ceremony
  • Responsible for taking photos of cadets and creating memory CD’s for cadets upon graduation
  • Planning for student departure to include out-processing procedures (travel, special needs, documentation)
  • Any additional duties required and assigned by Management
  • Work safely and follow safety rules. Report unsafe practices, behavior, or conditions. Take reasonable and prudent actions to prevent students from engaging in unsafe practices.

Minimum Qualifications

  • Associates Degree or equivalent work experience
  • Valid Driver’s License
  • Ability to work late nights/weekends/holidays, and/or be on call when needed or scheduled
  • Prior Customer Service experience
  • Must be able to multi task in a high pressure environment
  • Able to communicate with students of diverse backgrounds
  • Able to work and communicate with multiple departments
  • Work collaboratively as a part of a diverse team
  • Able to understand basic student’s needs
  • Computer skills – demonstrated proficiency using standard office software and application
  • Able to create, compose and edit written material
  • Able to recognize and use emerging technologies & communication systems to promote programs, activities, and services
  • Maintain confidentiality related to information and material
  • Ability to prioritize multiple projects and needs

Physical Requirements

  • Work is routinely performed in a standard office environment with some outdoor activities and events year round.
  • Occasional lifting and carrying up to 25 pounds
  • Subject to standing, walking, sitting, bending, reaching, kneeling, pushing, pulling, and other physical movements involved in student activities, decorating, posting signs, and event set-ups.
  • Loading of vehicles for activities
